Further information for the administrators of the system

Each School or Support Unit within the University must have at least one Administrator who will oversee their staff's records and information through the Cardinus on-line administration system which is called “PACE”. Whilst People and Money will capture training data, PACE should still be used to view staff records, access risk assessments and assist users.

Accessing PACE

PACE is the administrative side of Cardinus. Only Cardinus Administrators can access PACE.

Your log in name is your UUN and the password that you have set. 

If you are accessing PACE for the first time, please click on the "set new password" link and set your personal password using the email which you will receive.  If you forget your password, please complete this step again (the new system does not now allow us to reset passwords for Administrators).

Please note, passwords require a capital letter and a number.

Appointment of Administrator

Each School/Department is responsible for appointing their own Administrator(s).  We strongly recommend having more than one Administrator for each work area, to cover leave/absence.  It is a legal requirement for staff to be offered the training provided by Cardinus so it is vital that the administration of this is done at a local level continuously.

Please contact safety.training@ed.ac.uk if your Administrator needs to change, due to a change in personnel, or if you wish to add an additional Administrator for your work area.  Administrators are key to ensuring that new personnel are given appropriate access to the system. Individuals who have taken on the role of Administrator will receive appropriate training in the use of the PACE software.

The Administrator should assign the relevant Cardinus courses to all new staff, and staff who have previously completed the courses through Cardinus more than three years ago. 
 
Training should be assigned to staff, as a "Required Assignment" through People and Money. It is recommended that you set a due date/completed by date, to ensure the training is done and the legislative requirement is met (completion within the required 3 year period).  Once a member of staff is assigned each training course, and they have completed it, People and Money will automatically remind them to re-do their training (in 90 days less than 3 years).  Staff may also self-enrol through P&M but it is strongly recommended that training is assigned, to create an audit trail/record of the invitation to complete the training.
 
Only the training element of the Cardinus courses is recorded in P&M.  PACE will still need to be used to access risk assessments and assist with any staff issues/queries.
 
The PACE software allows the Administrator to view the users' completion of training (also in P&M), follow the progress of individual users through the system, report on their work area's results and help with any issues. Each Administrator may determine how they manage this for their work area.   

Examples of the reports include, many of which can be dowloaded into Excel;

  • identify any users with any outstanding issues, if available
  • list of users who have completed the training and/or risk assessment
  • training and/or risk assessments complete via location or department

Cardinus receives nightly updates from the University's systems.  User accounts in Cardinus match those of the University.  The daily updates will take into account those joining or leaving the University.  The location/School/Department shown in Cardinus also comes as part of the systems feed, based on where the staff member is on the published University hierarchy.  If the details in Cardinus are incorrect (work location etc.) please contact HR and ask them to update their records. If P&M is correct, but the user is showing in the incorrect area in Cardinus, please contact IS Helpline and provide details. Staff can not be manually added to/removed from Cardinus, or moved work areas. 

The training is not also available to any category of person other than staff.

Information for Administrators

A group email will be used to communicate with all Cardinus Administrators.  All new Administrators will be automatically added to this group.  It will be used for all communications from the Health, Safety and Wellbeing Department regarding this system.
